Sponsorship Letter Format: 5 Ready Samples for Puja Committees
Five copy-paste sponsorship request letters for different sponsor types — local shop, regional brand, corporate CSR, bank and real estate — with what to change in each.

A sponsorship proposal is the document. The letter is what makes someone open it.
Most committees write one letter and send it to everybody. That is why most letters get ignored. A jeweller two streets away and a bank's regional marketing head need completely different arguments — one cares about neighbourhood customers walking past their shutter, the other needs a line item that fits an approved budget.
Here are five letters you can copy today, and the reasoning behind each.
The rules that apply to all five
- Keep it under 200 words. The letter opens the door; the proposal does the selling.
- Put the number in the first three lines. Expected footfall is the only thing that makes them keep reading.
- Name one specific thing you are offering. "Sponsorship opportunity" means nothing. "Entry gate branding" means something.
- Attach photos. Always. Especially last year's sponsor branding in place.
- End with a small ask. A ten-minute call is easier to say yes to than a signature.
- Sign with a WhatsApp number. In India, that is the channel people actually reply on.
1. Local shop or restaurant (within 2 km)
Your easiest yes. They benefit directly because your visitors are literally their neighbourhood customers. Keep it warm and personal, not corporate.

What to change: distance to their shop, and mention any of their existing customers who visit your puja.
2. Regional brand (sweet shop chain, showroom, builder)
Slightly more formal. They have a marketing budget and think in terms of reach, but decisions are still made locally and quickly.
Subject: [Festival] 2027 sponsorship — [X] footfall in [area] Dear [Name], [Committee name] has organised [festival] in [area] since [year]. This year we expect approximately [Y] total visitors across [N] days, primarily families from [neighbourhood names]. What to change: name past sponsors if you have them — social proof does more work than adjectives.
3. Corporate CSR / community relations
Different budget, different language. CSR teams care about community impact and documentation, not footfall alone. Do not lead with advertising.

Beyond the celebration, we run [blood donation camp / free health check / community feast / student felicitation] serving [number] local residents each year. What to change: lead with the community activity, not the crowd. If you don't run one, consider starting — it opens a budget that advertising cannot reach.
4. Bank, insurance or financial services
They want mass reach, trust and local visibility, and they run festive campaigns. Emphasise crowd size and the family audience.

What to change: mention proof documentation early — regulated industries need it for internal reporting.
5. Real estate and property developers
They care intensely about catchment. If you are in or near their project's target area, say so in line one.

What to change: the stall offer matters most here — property sales teams want conversations, not impressions.
After you send it
- Follow up twice. Most sponsorships close on the second or third contact, not the first.
- Follow up on WhatsApp if email goes quiet. It usually works better.
- Send in the recipient's language. Local shops respond better in Bengali or Hindi; corporate offices expect English.
- Track who you sent to and when. A simple sheet prevents both gaps and awkward repeats.

Should the letter be in the email body or attached?
In the body. Attachments often go unopened. Put the proposal as the attachment and the letter as the message.
How long should I wait before following up?
Four to five working days. Then once more a week later. After that, move on and try again next season.
Should I mention the price in the letter?
Yes — a starting figure. It filters out mismatches immediately and signals you are organised.
What if I have no past sponsors to name?
Skip that line entirely and lead with footfall and photographs instead. Never invent sponsor names.
Can I send the same letter to twenty shops?
You can, but personalise the first line for each — their name and the distance to your pandal. That single change materially improves reply rates.
