Why most proposals get ignored
- They ask for a donation. Donation budgets are tiny. Marketing budgets are large. Ask from the right pocket.

The 7-part structure that works
1. Header — committee name, festival name and year, your logo, and one line: "Sponsorship & Advertising Proposal 2027."
2. About us — 3–4 lines. Year established, neighbourhood, what your puja is known for (theme, idol artist, awards, press coverage). Legacy builds trust fast.
3. The numbers — expected footfall per day and total, festival dates, visitor profile (families, youth, local residents, which neighbourhoods). This is the section they actually evaluate.
4. Photos from last year — 3–5 images. Include at least one close-up of a previous sponsor's branding in place. This single photo does more persuading than three paragraphs.
5. What's on offer — your ad spaces with size, position, duration and price.
6. Sponsorship tiers — Gold, Silver, Bronze. Make it easy to choose.
7. The ask and contact — one clear next step, plus name, phone, WhatsApp and email.

Five things that make a proposal convert
- Send it early. Brands finalise festive budgets 2–4 months before the festival. For Durga Puja that means June–August.
- Attach photos, always. Especially last year's sponsor branding in place.
- Offer three tiers. Most brands pick the middle one — which is usually more than they'd have offered unprompted.
- Name a real deadline. "Premium positions confirmed by [date]" creates honest urgency.
- Follow up twice. Most sponsorships close on the second or third contact, not the first.
Frequently asked questions
Should the proposal be a PDF or a printed document?
PDF for email and WhatsApp — it's what gets forwarded internally. Carry 5–10 printed copies for local shop visits, where paper still works better.
How long should it be?
Two to three pages. If you need more room, put extra photos in an annexe rather than more text.
Should we mention other sponsors?
Yes. Naming last year's sponsors is social proof — it tells a new brand that others already trusted you and got value.
What if we're a new committee with no history?
Lead with the neighbourhood and the crowd instead of legacy. Be upfront that it's your first or second year and price accordingly — many local brands like backing something new.
Should we send it in English or the local language?
Match the recipient. Local shops respond better in Bengali or Hindi; regional and national brand offices usually expect English. Keep both versions ready.
Do we need GST or a registration to accept sponsorship?
Small local sponsorships are often handled simply, but a registered committee with a bank account and PAN can accept larger corporate payments far more easily. Check with your accountant for your situation.
